Volunteer-Led Event Booths
Volunteers run tables and 10×10 spaces at local churches, fairs, and homeschool conferences all the time — usually with far less guidance than a staffed national exhibit gets. This page is for you, the staff member fielding their questions: what to point them to, what to tell them, and where MEL and EAR requests fit in.
Coaching volunteers on table & 10×10 setup
Four things worth passing along: none of it requires a big production, and that's the point to make clear.
A tablecloth or table throw
Let them know branded ones exist and point them to the EAR form if necessary.
One clear call to action
Encourage them to give people one obvious next step—a sign-up sheet, a QR code, or a simple opening question script.
Printed handouts
Make sure they know what's available to take-and-give—a flyer or brochure fits a table-sized footprint well.
A video playing
If they can bring a laptop or small TV, nudge them toward it—motion catches eyes a static table doesn't.
THIS SECTION REALLY REQUIRES GROWTH TEAM INPUT
MEL Requests & EARs — what staff should know
Both terms come up often when volunteers reach out about local exhibits. Here's what they mean and where to send people.
Ministry Expansion Leads (MEL)
High Impact Volunteers who represent AHG at regional and local events and help introduce new families and churches to the ministry in their area. If a volunteer asks how to get more involved in outreach beyond their own Troop, this is likely the path to point them to.
Details on the MEL Event Resource Process→Exhibit Assistance Requests (EARs)
How a volunteer requests support (materials, guidance, or additional hands) for a table or 10×10 exhibit they're planning to run. The event must benefit AHG as a whole ministry, not just recruitment for their local Troop. If someone reaches out asking for help with an upcoming local event, this form is the right next step to send them.

If a volunteer can bring a laptop or a TV to their table, encourage it—a video playing on loop draws people over even while they're mid-conversation with someone else. Point them to whichever length fits their setting.
